AI in Debesis

Customer service automation with AI

An AI voice assistant that answers at three in the morning, a transcript of every call, requests that classify themselves without an agent. Six features working in the Debesis system — in English, Dutch, German and other languages, with your processes.

Six AI features — what each one does

Each solves a different service problem. Here is what goes wrong without it and what changes with it.

Feature 01

AI voice assistant around the clock

Who answers after hours — and who calls with appointment reminders?

Problem

After hours the phone rings and nobody answers — the customer calls a competitor or tries again tomorrow, if at all. The same in reverse: appointment reminders do not go out, or someone works through the list by hand.

The assistant works both ways. Inbound, it answers every call, understands spoken language — English, Dutch, German and more — and fully handles the most common requests; unusual cases go to a person with a transcript of what has been covered. Outbound, it calls with appointment and deadline reminders and confirms, moves or cancels bookings in the conversation.

  • Order and shipment status — checked live in the system
  • Outbound campaigns: reminders of appointments, check-ups and deadlines
  • Book, move and cancel appointments in the call
  • Take fault reports outside business hours

Ticket #4471 with the right person. No reading, no clicking.
Feature 02

Request classification

Who sorts the morning mail for the teams?

Problem

Every morning someone has to read a hundred emails and pass them to the teams. Until that is done, urgent cases sit next to questions about opening hours.

AI analyses the message or form, sets the category and priority and assigns the case to the right team. The request lands where it belongs the moment it arrives.

  • Topic recognition from content, not keywords
  • Priority from tone and urgency
  • Automatic team assignment and SLA clock start
Feature 03

Call transcription

How do you find out what was agreed on the phone three weeks ago?

Problem

The recording exists, but nobody listens to it. Finding out what was agreed three weeks ago would mean forty minutes of listening.

Every VoIP call is converted to text automatically and attached to the case — next to the email thread and notes. The archive becomes searchable like any other document.

  • Transcript in the ticket, not in a separate folder
  • Search by content, date, agent or customer
  • AI summary of what was agreed after the call

Management knows the same day — not from the monthly report.
Feature 04

Sentiment analysis

How do you spot a customer about to leave?

Problem

Customers who want to leave rarely say so. The signals are in the conversations, but nobody collects them — they only surface at cancellation.

The system rates the tone of every call and flags those where the customer is unhappy. Cases with negative sentiment go to management automatically before they grow.

  • Tone rating without agent effort
  • Automatic escalation of cases that need attention
  • Overview of repeat contacts about the same issue
Feature 05

Reply suggestions

Where does the agent get the reply text?

Problem

A new agent takes many times longer for the same reply. An experienced one is faster but also writes from scratch every time — and slightly differently each time.

The system suggests a ready reply based on similar cases and the knowledge base. The agent accepts, edits or writes their own — the decision stays with a person.

  • Suggestions based on cases already resolved
  • Consistent communication, whatever the agent’s experience
  • Faster onboarding of new team members

Result

Feature 06

Automatic closing

What about recurring questions in the queue?

Problem

A large part of the queue is questions about opening hours, bank details and shipment status. They take up as much room as the difficult cases.

Workflow rules recognise information requests, answer from the knowledge base and close the case without an agent. The queue keeps only what really needs a person.

  • Answers to recurring questions straight from the knowledge base
  • Closing with a full history entry
  • A queue with only cases that need a decision

Data protection

AI and data protection

Hosting, databases and backups of the Debesis platform are in Poland, within the EEA. For AI features — the voice assistant with speech recognition, speech synthesis and language understanding as well as classification, summaries and reply suggestions — we use AI models from external providers, including OpenAI and Google. Processing takes place in data centres in the EU. Which data is transferred is governed by the data processing agreement and the list of sub-processors, available on request.

The AI voice assistant introduces itself as an automated assistant at the start of every call. Decisions a person needs to make are handed to your team with a summary.

How the rollout works

Four steps. We start with your calls, not a template.

Analyse calls

We listen to recordings and pick the most frequent requests.

Design the dialogue

We write the dialogue in your customers’ language and decide when the assistant hands over to a person. Project work with you is in English or Polish.

Integrations

We connect your CRM, helpdesk and telephony so every call becomes a case immediately.

Test and fine-tune

We start with part of the traffic, measure effectiveness and improve the dialogues.
